We are currently looking for a Responsive Planner to join our team in Cornwall to start February 2025.
Overall purpose of the role:
The Responsive Planner is responsible for coordinating and scheduling maintenance work across various teams. This role involves liaising with clients, technical managers to prioritise tasks, ensure timely completion, and maintain high-quality standard by means of telephone, email, and using our in-house systems to plan and organise.
Accountabilities/Responsibilities:
- Experience in organising jobs from start to finish.
- Receive, review, and prioritise incoming work orders and repair requests.
- Communicate effectively with residents, contractors, and internal teams to provide updates on repair status and address any concerns.
- Allocate appropriate resources, including contractors and internal teams, to ensure timely completion of repairs and maintenance tasks.
- Working Efficiently using travel time and productivity to help plan.
- Proactively identify and address potential issues or delays.
- Running reports on historic jobs and planning into diaries whilst ringing tenants.
- Prepare regular reports on repair activity, response times, and service quality for management review.
- Working from a live diary to make sure operatives have a supply of works for the trades they do.
- Understand what trades and order they are to be released to complete all works.
- Create and adjust daily and weekly schedules.
- Regularly evaluate existing processes for efficiency and effectiveness, identifying opportunities for streamlining operations and enhancing service quality.
Key Skills & Experience:
- Strong communication skills, both verbal and written.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office equipment.
- Friendly, approachable, and professional demeanour.
- Strong attention to detail and problem-solving skills.
- Ability to work independently as well as part of a team.
